Panopto Data Retention Policy postponed

The UW’s retention policy for Panopto recordings has been postponed until a system is created so creators can see which recordings will be deleted.

You can still back up recordings that haven’t been viewed in the past five years.

What was planned for March 20, 2024?

  • Panopto recordings that have not been viewed in the previous five years will be deleted. Most will be deleted permanently with no means to recover them.
  • Recordings not viewed in the previous 18 months will be archived.
    • You can restore an archived video at any time (unless it has been deleted). The process takes about 48 hours.
  • Note: UW-IT will not notify anyone before deleting recordings. 

This is the final phase of UW’s policy to reduce storage taken up with obsolete media content.

Next steps: Decide which recordings to keep 

  • Review your recordings. Decide which videos you still need? 
  • Which videos do you want to download and backup elsewhere?
  • Reset the clock: When a recording is “played,” its 5-year retention policy resets. Play the recording, and it will not be deleted for 5 more years.   

Check to find archived recordings 

Panopto recordings are archived if they have not been viewed in the previous 24 months – so it is important to check the archives for recordings you want to preserve. Archived recordings that have not been viewed in the previous five years will be deleted on March 20, 2024.
